01Replace the venue facts
Confirm the actual room, floor plan, stage, loading route, lifts or stairs, power, rigging, internet, sound boundaries and access hours. Do not carry the 120-guest rooftop venue assumptions into a real venue without checking them.
02Lock the programme
List every speech, presentation, performance, video, playback item, remote contributor, recording and transition for the roadshow in order. Give every technical cue a trigger, owner and ready state.
03Align the quotation scope
Separate equipment, delivery, setup, testing, rehearsal, operation, overtime, teardown, structures, power, backups and deliverables. Every quoting party should respond to the same brief and programme revision.
04Test the outcome and recovery
Name the audience position and pass condition for repeatable setup, fast load-in and portable backup; wind, weight, lift access and sound spill. Run the highest-risk moment with the event files, selected devices and people involved, then rehearse the backup action before room handover.
